  3. Enter your community name and number of homes

You will receive the complete estimate and attachments via email.

When you’re ready to fill out the agreement, just click the green “I want an agreement” box at the bottom of the estimate.

Helpful Guide
Here are some guidelines if it is determined that you want to keep the vote open during the meeting to allow those that have not yet voted complete their electronic vote (and possibly write in any nominations from the floor). Please click here for some sample guidelines for the virtual meeting.

Please remember that you do need to establish quorum is present (one owner per property, not just number of people logging in, and usually needing some type of written record of such) before you can open the meeting, and the electronic votes do count toward quorum. Most associations choose to close the electronic voting in advance of the virtual meeting.

If you decide to not close the vote before the meeting, or only run the vote during the meeting, that may make it challenging to get the quorum requirement, because many people will then wait until the meeting to vote. Another option to consider if you want the voting to be open during the meeting (or done only at the meeting) is that you can run a quorum only ballot in advance of the meeting to ensure you have the quorum required to hold the meeting.

If voting is left open during the meeting, there are two options to close the vote and receive the final voting report:
1) If it is during business hours (8am-5pm PT) your assigned vote manager will email the final results to the point of contact
2) The point of contact can use their administrative login to pull the final results

Keep in mind, there may be some difficulties for an owner signing in to vote during the virtual meeting, they are usually:
1) That they cannot do it at the same time of attending a web-based meeting just because they are not “adept”
2) They are using an old, outdated browser (like Explorer) so the screens/ballots do not display – need to update their browser or use a modern browser like Chrome or Edge
3) They have other security settings that block emails and sites they have not been to – change their security settings or turn off pop-up blockers

We do assist you (the point of contact) with any voting issues that come up, but it may be difficult for you to manage during a meeting because it takes a little time to figure out what difficulty someone could be having and you are usually busy trying to run the meeting.
